The origin

A firm that outgrew its tools

JCSS has spent 25 years building one of the region's larger professional-services practices: 600+ professionals, 2,000+ clients, nine offices across India, Singapore, Indonesia and Japan. Audit, tax, corporate advisory, the regulated work companies cannot afford to get wrong.

The firm was never short on expertise. What it had outgrown was the patchwork of tools holding all of that work together. When they came to us, the brief was direct. Give the firm one system to run every client, every engagement and every deadline, and make it live up to the value the firm is built on: transparency.

The problem

The work scaled. So did the phone calls.

Every firm starts with spreadsheets and email, and for a while they hold. At this scale they do not. Two thousand clients across four countries means thousands of engagements running at once, each with its own deadlines, deliverables and sign-offs, spread across nine offices and hundreds of professionals. Who owns this task, what is the status of that filing, which version of the proposal did the client actually sign? Statutory work has hard dates and no forgiveness, so none of those questions can go unanswered.

And the hardest questions came from outside. Keeping clients in the loop meant the phone. Where does my filing stand, did you receive my documents, what do you need from me next, every one a call, an email or a chased attachment. Consultants lost hours every week to status updates the client could not see for themselves. The work was transparent to the firm and opaque to the client, which is the opposite of what the firm's name is built on.

The outcome

One console, from proposal to sign-off

The firm now runs every engagement on one platform. What used to be scattered, the status of a filing, the signed proposal, the record behind a client's company, now lives in one place, with an audit trail behind it.

Consultants across every office see their whole portfolio; clients log in to their own. The questions that used to start a phone call are now answered on screen. That is transparency made operational rather than promised.

How we worked

From a wide feature list to a firm-wide system

The firm came to us with deep domain knowledge and a wide surface area: many services, many roles, many clients. Our job was to turn that into one coherent product teams could actually run.

Mapped the domain

We modelled how the firm actually works, services, engagements, teams and the compliance data underneath, and shaped it into a data model before designing a single screen.

Designed one system

We connected proposals, assignments, tasks and company records into a single flow, with the roles and permissions a multi-client firm needs built in from the start.

Built and shipped it

We built the platform as a production SaaS: real-time, multi-tenant and audit-aware, with recurring work, notifications and client-facing deliverables handled end to end.

The approach

A single source of truth for the whole engagement

Professional-services work has a natural shape. You win it, you scope it, you deliver it. Most firms run each stage in a different tool and lose the thread between them.

The platform makes that pipeline the product. It rests on three layers that feed into each other: proposals that turn into assignments, assignments that break into tasks and milestones, all sitting on a live record of the client's companies and the people behind them.

Layer 1 · Proposals

Win the work, on the record

Proposals are drafted in a rich editor, dressed with exhibits and internal-only comments, then sent to the client for signature. The client reviews and signs in-app; the platform captures the signature, locks the document and produces a clean, shareable export.

From the moment a proposal goes out to the moment a signature comes back, everyone can see exactly where it stands. Client presentations work the same way.

Layer 2 · Assignments

Deliver it, without losing the thread

An accepted proposal becomes an assignment: one engagement with a service type, a team and a finish line. Each service carries its own structured forms, so consultants capture exactly the data that service needs and nothing they do not.

Milestones mark the deliverables, and a running update feed keeps the whole team honest about where things stand. Every assignment sits on the client's company profile: directors, shareholders and statutory IDs captured once and reused.

Layer 3 · Tasks

Run the day-to-day

Every task has an owner, a due date and a clear status. Tasks roll up to an assignment, or stand on their own. And the work that never stops, the monthly and quarterly filings, is created automatically, so nothing slips because someone forgot to set it up.

Set it up once, and each round appears on schedule, every time, without anyone recreating it.

The payoff

Less coordination, more delivery

The change shows up in how the firm works. Consultants stop chasing status and start closing work, because the status is already on the screen. The firm sees the health of its whole portfolio at a glance instead of piecing it together by hand. And the hours that used to go into phone updates go back into the work itself.

Access control

Two sides of the same platform

The platform serves two audiences at once. The firm's own people see across every client, engagement and team. Each client sees only their own work, and nothing else. With hundreds of professionals across nine offices, that line has to be exact.

Teams decide which consultants work with which clients, and each person's role decides what they can see, edit and sign. Those limits hold everywhere, not just on the surface, so the wrong person never sees the wrong thing.
